WEDDING: The Benefits of Having a Weekend-Of Coordinator

Hiring a weekend-of coordinator was by far the best decision I made during my wedding planning. They handled every detail from rehearsal to my wedding day. I’m not even sure everything they handled because I was having too much fun celebrating! I’d highly recommend to every bride or groom.

If you’re recently engaged, you may be asking yourself “do I need to hire a wedding planner?

The answer is yes. If you’re a couple who wants to be completely hands-on in all the planning leading up the big day, a full-service wedding package probably is not for you. However, we’d definitely recommend hiring a day-of coordinator (or what we call a weekend-of coordinator).

So now you may be asking, “what does a weekend-of coordination package entail?

A weekend-of coordinator will ensure all your detailed plans are executed smoothly and handle any problems that may arise. The coordinator will be there from the very start of your rehearsal to the very last dance of your wedding reception. At HYPE Event Planning, we act as a liaison with the venue, vendors, families, guests, and, most importantly, the couple. Our process generally starts at least two-months prior to your wedding day. This gives us the opportunity to catch up on all your plans and we can start creating a detailed timeline for the entire weekend.

Even if your venue has a coordinator on staff, it’s important to remember that it is that person’s job to coordinate the logistics of the venue, not the wedding party, vendors and the wedding itself. A weekend-of coordinator will meet and communicate with you for months leading up to the wedding to ensure no details go unnoticed or unattended to.

The main benefits of hiring a weekend-of coordinator include:

  1. A full peace of mind.
The last thing you want on your big day is be stressed with every last detail. The logistics of the day can be very overwhelming-- such as coordinating set-up, transporting decorations, directing vendors for set-up, etc. Hiring a weekend-of coordinator automatically takes these responsibilities off of your shoulders.

  2. Time with loved ones, not vendors.
Your wedding day is such a rare time where everyone you love is under one common roof. This time should be for celebrating with friends and families, not coordinating details with the many pieces involved in your celebration.

  3. A well-executed day.
About two months prior to your wedding day, a weekend-of coordinator will work with you to create a master timeline for the entire weekend. This can be a daunting task, but a coordinating will make sure there are no gaps or oversights in the timeline.

  4. You won’t have to wrangle people up.
Bridal party, parents, siblings, officiants, ushers, flower girl, ring bearer, aunts, uncles, grandpas, grandmas--- this is a TON of people to keep on schedule! A weekend-of coordinator will ensure that all these people are where they should be so you don’t have to worry about tracking people down constantly.

  5. You can just be a bride/groom.
You have two jobs on your wedding day: to get married and have a blast! Let a weekend-of coordinator take care of the rest so you can just be a bride/groom.
